Zapier How-to Guide

Overview

Zapier is a great tool for managing data flows in and out of your Intros club. We’ve found that community data often lives in online databases like Google Sheets and Airtable, or comes directly from surveys like Typeform. Follow the guides below to automate common flows for your Intros club.

💡
It is important to note that you will be required to reconnect your Intros account in Zapier if all of your Intros AI zaps stay inactive for a period of 60 days or more. On the 60th day of inactivity across all of your Intros AI zaps, your zaps will no longer be able to execute and any future Zap runs will be held in a queue within Zapier. Once you reconnect your Intros AI account, all of the queued Zap runs will execute.

The below dropdown lists explain the details of setting up specific zaps and transfers between a database and Intros.

Create New Member in Database from Intros

  1. Set up your zap’s trigger. Here we will set up our zap to run every time that a record is added to our database (Google Sheet).
    1. Select Google Sheets as the partner service that we want to use

    7. Select the Spreadsheet and Worksheet that you want to connect. This is likely the same spreadsheet that you used in the previous section.

    9. Test your trigger. You should see all of the data from one of the records in your database.

  2. Set up your zap’s action. Here we will define how we insert the data from our database into Intros
    1. Select Intros AI as the partner service that we want to use

    3. Select Create Member as the event that we want to trigger this zap

    5. Select your Intros account or connect an account

    7. Select the Intros club that you want to create the new member in and map all data from your database to the Intros data fields.

      Take special note of the Creation Mode field. Auto Enroll means that the member will automatically be added to your group (recommended). Send Invite means that we will send the member a invite email for them to join your group.

    9. Test your zap. You should see success: true and the first name, last name, and email of the member that you added to your intros club.

      A real member was added to your Intros club in this step, so make sure to remove them if you don’t want that member to actually be part of your Intros club,

Pro Tip! Zapier now supports data transfers which allow users to bulk transfer your all of your data from one of their supported apps to your Intros club at once. If your database (Google Sheets, Airtable, etc) is one of the supported apps, then you will be prompted to make that transfer when you publish your zap. You don’t have to transfer your data, and if ever want to come back to it, you can always follow this guide: Database → Intros One-Time Bulk Transfer.

Congrats! You’ve finished the guide to keeping your community data sources in sync! At this point, when a new member is added to your Intros club, they will be added to your database as well.

Create New Member in Intros from Database

  1. Configure your group’s matchmaking form. In this example, we will have 2 basic questions:

    The Intros Zapier integration supports all question types except for Similarity Scale questions. We are hoping to support this question type in the near future.
  3. Add a member to your intro club. You only need to do this if you club has no members. We will need at least 1 member in your club for Zapier to have knowledge of your intro club’s matching form structure. You can quickly add a member to your intros club by joining via the link on your club’s home page. You can always remove this user when you are done. Note: We recommend using a fake email (ie: testemail58@testaccount.com). Once an admin deletes a member, they cannot rejoin the group with the same email, so this is the best way to be safe.

  5. Identify your database. In this example, we will be using a Google Sheet which contains our community data. You can use any other database that has an integration with Zapier.

  7. Set up your zap’s trigger. Here we will set up our zap to run every time that a member is added to our Intros club.
    1. Choose Intros AI from the list of integration partners. Look for the option with the Latest tag (if there is one). You may see the Beta tag, which is there only because our Zapier integration was recently launched.

    3. Choose Member Created from the event dropdown

    5. Choose an existing account from the dropdown if you have already linked your Intros AI account. If not, click Connect a new Account. You should see a pop-up window like this:

    7. Select your Intro club’s name from the dropdown

    9. Testing your trigger should display at least 1 member (assuming that you followed #2 above).

      From here, we will focus on setting up the action that adds a member to your database. In this example, we will be using a Google Sheet
  8. Set up your zap’s action. Here we will define how we insert the data from Intros into our database.
    1. Select Create Spreadsheet Row since we want to add a new row to our database every time that a member is added (joins) our intros club.

    7. Map your member’s data from Intros to your spreadsheet’s columns

    9. Test your action. This should add a new record to your spreadsheet, so make sure to remove it if you don’t want it there.

  9. Publish your Zap!

    At this point, we’ve completed the zap that will add a record to your database every time that a member is added to your Intros club! Next, follow the steps for the reverse dataflow so that your database and Intros club will stay in sync.

Update Member in Database from Intros

  1. Identify your database. In this example, we will be using a Google Sheet which contains our community data. You can use any other database that has an integration with Zapier.

  4. Search for the updated member in your database. We need to find the correct record in our database that we can update
    1. Add a Lookup Spreadsheet Row action to your zap

    5. Setup your action: Select your drive, spreadsheet, and worksheet. Map the Lookup Column to email and map the Lookup Value to the email from our Intros trigger. We don’t need to map supporting lookup column or supporting lookup value.

  5. Set up your zap’s action. Here we will define how we update the data in our database.
    1. Add an Update Spreadsheet Row action to your zap.

    3. Select the Google account that was used to create the sheet that you want to connect

    7. Select the row to update. We searched for this row in the last step of the zap, so we can use it’s output here.

  6. Publish your Zap!

Update Member in Intros from Database

  1. Set up your zap’s trigger. Here we will set up our zap to run every time that a record is updated in our database (Google Sheet).

    7. Select the Spreadsheet and Worksheet that you want to connect. This is likely the same spreadsheet that you used in the previous section. We can leave Trigger Column blank since we want to update our Intros club when any column changes.

  2. Set up your zap’s action. Here we will define how we insert the data from our database into Intros

    7. Select the Intros club that the member exists in and map all data from your database to the Intros data fields.

    9. Test your zap. You should see success: true and the first name, last name, and email of the member that you added to your intros club.

      A member will really be updated in your Intros club with your database data during this step. You may want to skip testing if you don’t want this to happen.

Database into Intros One-Time Bulk Transfer

  1. We recommend that you follow the Database → Intros Dataflow Guide first before following this guide. Running a mass transfer with the zap from that guide will create new members in your Intros club for each of the records in your database. Note: Not all databases are supported by Zapier to make bulk transfers. Two commonly used databases, Google Sheets and Airtable, are supported, and you can find a full list of all supported apps here.
  2. Now that you have your zap set up, we can start the transfer process. We recomend finding the zap that you created in step 1, clicking on the three vertical dots icon for that zap, then clicking Transfer existing data.

  4. Once you are on the transfer page, you can select all of the records that you want to transfer to your Intros club. When you have all of your records selected, click Next.
