Invite Customization

What is the Invite Editor?

The Invite Editor allows you to customize the subject line and email body of Matching Round invites. You can also send yourself a test email after saving your customizations.

There are two different templates which are editable via the Invite Editor: Opt-In and Opt-Out. The editor will automatically load the template the coincides with the invite being edited.

Example You open the invite editor associated with an Opt-In round to take place a week from Friday. The email editor will load the Opt-In Template to be edited. You update the Associated Matching Round to be Any Upcoming Match, and you have an Opt-Out round taking place this Friday. The email editor will update to reflect the Opt-Out Template.

Opt-In Template

This is the template that will be used to send invites to your members, if the round associated with an invite is an Opt-In round. The template will allow members the opportunity to choose to participate in an upcoming match.

Details on both the Subject and Body are provided below.

Subject

The subject for the Opt-In template must include the ((first_name)) variable. This variable will be substituting with the first name of the receiving member.

Note Including a person’s name in the subject line substantially increases inbox hit rates.

Body

The body for the Opt-In template must include the ((opt_in_link)) which allows member to Opt-In for the upcoming round. The default template also includes a ((directory_link)) and ((update_member_link)) which will navigate members to your organization directory and to update their profile respectfully.

Opt-Out Template

This is the template that will be used to send invites to your members, if the round associated with an invite is an Opt-Out round. The template will allow members the opportunity to choose to participate in an upcoming match.

Subject

No specific requirements exist for the Opt-Out Template Subject, although you can choose to insert the ((first_name)) variable.

Body

The body for the Opt-Out template must include the ((opt_out_link)) which allows member to Opt-Out for the upcoming round. The default template also includes a ((directory_link)) and ((update_member_link)) which will navigate members to your organization directory and to update their profile respectfully.

Testing your Templates

To send a test email to yourself, navigate to Send Test Invite and input your email

Note If you’ve edited your email template you must SAVE before hitting Send Test Email.

If your email template is saved and you have input a valid email, you will be able to hit Send Test Email, and should receive an email almost immediately.

Customizing your Invites

Variables

Variables are keywords that you can use in your email subject or body that will be replaced when your email is sent. Each email editor will display a list of the available variables that you can use (example: ((first_name))), along with a short description of what that variable represents. Variables are written in ((<variable name>)) format, which means that you must include the parentheses when including a variable in your subject line or email body. Note: In an email body, variables should only be used for text hyperlinks or button URLs. Reference the Merge Tags documentation below to generalize all other parts of an email body.

Example Personalizing your Opt In emails is important to build trust with your members and ultimately encourage them to opt in for an introduction email each week. You can include the member’s first name in your Opt In email’s subject line by including the ((first_name)) variable. A subject line that reads “Joining Intros this week, ((first_name))” will appear in the email inbox of Sarah (our fake example member) as “Joining Intros this week, Sarah?”.

Merge tags

Merge Tags are a specific type of variable that you can use in your email body which will be replaced when your email is sent. Each email editor will display a list of the available merge tags that you can use (example: Group Name), along with a short description of what that merge tag represents. Note: Merge tags cannot be used as text hyperlinks or button URLs. Reference the Variables documentation above to generalize those parts of an email body.

How to use a merge tag

In this example, we are using the Member First Name, Group Name, Intro Time, Group Timezone, and Intro Day merge tags. This means that you can change any of those values for your group, such as your group’s timezone, and your opt in email will stay up to date.
  1. Place your cursor anywhere in the email editor that you would normally be able to type.
  2. Notice that the editor tools become available and a “Merge Tags” dropdown is available in the lower right corner of the editor tool tray.
  3. Select an option from that dropdown.
