Customizing Welcome and Intro Messages

Intros offers a variety of customization options in communication to club members. Every email message can be customized, and this page will cover the capabilities available in each email. This page also covers available product add-ons to further white label your Intros club.

Summary: After uploading member data, admins have the option to send personalized invitation emails for members to join their Intros club. For detailed information on the Invite/Auto-Enroll Member process, visit the “Inviting your Members” page

Customization: After navigating to the “Customize & Send Email Invitations” page through the “Kick-off!” step on your community checklist, you will see both the Invite and the Auto-Enroll emails. You can edit the email text for the auto-enrollment email on the left, and the text for the invitation email on the right. If you are auto-enrolling all members OR inviting all members, there is no need to edit both emails; only the one your members will be receiving

Welcome Email

Summary: The Welcome Email is sent to members directly after they join your Intros club. This message typically explains the Intros member experience at a high level, though its plain text version is completely customizable.

Customization: Intros offers a default option and a plain-text email option. The default email contains a graphic that explains the Intros flow.

Introduction Email

Summary: The Introduction Email is sent to members every time they receive a match. This email showcases why members were paired together. For auto-matching groups, this email will contain a scheduling link at the top. For ad-hoc and back-to-back groups, this email has the option to contain a scheduling link, a video link, or neither.

Customization: Intros offers a default option and a plain-text email option. Both email options offer the capability for admins to toggle on & off questions to only include relevant matching information.

Admins can also add Icebreakers at the bottom of the customization page to help initiate conversations between members. There is no limit on the number of icebreakers you’re able to include - our software will randomly select 3 to include in each Introduction email.

Opt-in Email (Auto Flow)

Summary: The Opt-In Email is sent out at the same time weekly (which admins can customize on the auto-flow tab). This email asks members if they would like to join the upcoming matching cycle, and if so, allows them to opt-in with one click.

Customization: Intros allows admins to edit, preview, and send a test email of the opt-in message through the opt-in email editor found on the auto-flow page.

The opt-in email editor allows admins to utilize dynamic merge tags ( member variables (like first_name, last_name, Intro time, directory link, etc.), as well as change the color, font, and size of the text. Admins can even add images and gifs in the email body!

Invitation Email (Ad-Hoc Flow)

Summary: The Invitation Email is sent out to invite members to opt into individual, upcoming matching rounds. This email asks members if they would like to join a specific, upcoming ad-hoc round, and if so, allows them to opt-in with one click.

Customization: Intros offers a default plain-text email option with dynamic fields for name, match time, and match date. Admins can send as many invitations per event as they would like, and the dashboard will show the last time invitations were sent. Admins can choose to send invitations to all members, or just to members who haven’t opted in for the specific round yet.
