Choose your Matching Flow

Intros Flows

Your Intros “Flow” is the way in which your members will be connecting with each other. We offer three different flows, each with unique traits that make them appealing to different types of community admins. On this page, we will provide an overview of each matching flow, and walk through how you can set up and customize each matching flow.

What are Matching Flows?

Your Intros matching flow dictates how your members will connect with each other. We offer three different flows:

  1. Auto member matching
  2. Ad-hoc member matching
  3. Back-to-Back member matching

Auto Matching Flow

In the auto-matching flow, introductory cycles are sent out weekly to your members. Not every member will be matched every week. When signing up, members choose how often they want to meet others: weekly, biweekly, or monthly. As the admin, you can set which of these options members are able to select.

  1. Modify the weekly times opt-ins are sent and introductions are made. Underneath the two time settings, you will see the next date & time that Intros are scheduled to send out based on your settings.

    Note: If you use our Zapier integration or a CSV upload to auto-enroll your members, they will all be automatically assigned the “bi-weekly” cadence. Limiting options to one will make that option the default for all members.

  7. Select how long you’d like each Intro to be (ie: the duration of the calendar invite sent out)

Written Guide

Activate your members

First, Members need to join your Intros club. If you have any level of pre-existing member data, we recommend importing (or uploading) your members to the Intros platform, and then inviting them to join your Intros club.

If you have no pre-existing data, members can join your club by filling out your club’s customized matching form.

Receive Welcome Email

After joining your club, all members will receive the club’s Welcome Email. This typically explains how the matching flow for your specific club will work.

Opt-ins Sent

The first step in matching involves opting in via the weekly opt-in email. “Opting in” is synonymous to confirming that you would like to receive a match in the upcoming matching cycle. As the admin, you can select what day & time the opt-in message is sent each week, as well as customize what that email looks like. Members can choose how often they receive an opt-in message.

Matches are Made

After that, matches are made! Our algorithm will run at the day & time you’ve set Intros to be made, and matching emails will be sent out shortly after. Both members will be cc’d on the matching email, and the contents will show matches why they were paired together. Meeting your Match

There will be a scheduling link at the top of the introduction email for members to select a time to chat. The first member will submit available times to their match, and the second member will choose from the proposed times.

Once a time is agreed upon, Intros will automatically send out a calendar invitation with a video link to both matches. Then, when the time comes, matches will hop on the Intros video link and have a great time!

Feedback Form

Lastly, a feedback form will appear for members directly after their conversation ends. You can customize this feedback form on your admin dashboard. If members don’t fill out the form directly after their meeting, they can access it at any time on their member profile.

Opt-ins Sent

That’s it! The auto matching process will repeat itself from the opt-in email and your members will continue receiving matches. :)

Ad-Hoc Matching Flow

In the ad-hoc matching flow, individual matching experiences are created, customized, and scheduled by the admin. Every club member will be able to opt-into each ad-hoc round. There is no limit to how many ad-hoc matching rounds can be scheduled in advance, and the matching rounds can be edited by the admin at any time. Admins can choose between a calendar link, a video link, or no link on their Introduction email for individual matching rounds.

Setting Up Ad-Hoc Matching Rounds

The ad-hoc matching flow offers admins a lot of flexibility in how they can structure their matching rounds. There are three “match” sections on the ad-hoc tab: Scheduling a Match, Upcoming Matches, and Past Matches.

Scheduling a Match:

  • Choose the date & time of your matching round (in your local timezone).
  • You can edit the match timing in the “upcoming matches” section at any point before the round occurs.

Upcoming Matches:

  • Edit the date and time of any upcoming matches
  • Decide if you’d like to send a scheduling link, an Intros video link, or neither link with your Introduction email. Choosing no link pairs well when members will be meeting in-person after their match. If you choose to send a video link, you can also elect to send a calendar hold directly after members opt-into the round. The video link allows you to treat ad-hoc matching rounds like an event if you would like, where members will receive their match & join a call right after.
  • See how many members have opted into the upcoming round
  • Send custom, plain-text invitation emails to your members for each matching round. Members can opt-in with one click. You can send multiple invitations, and choose to have all members receive them, or only those who haven’t yet opted in.

Past Matches:

  • View matching rounds that have previously taken place, and how many members participated.

Opt-Ins for Members to Join Ad-Hoc Rounds

There are three ways members can opt-into ad-hoc matching rounds:

  1. From customized invitations sent by the admin
    • Admins have the ability to customize each invitation on the “Upcoming Rounds” section.
    • Admins can send customized, plain-text invitation emails to members for individual matching rounds. Members can opt-in with one click.
    • Admins can send multiple invitations per round, and choose whether to send them to all members or only to those who have not yet opted in.
  2. On the “Upcoming” page of their member profile
    • The ‘upcoming’ tab is visible to “ad-hoc” matching groups and “back-to-back” matching groups. If your club is an auto-matching club, this section will not appear.
    • The upcoming tab is where members can opt-in to upcoming matching events, or cancel their opt-in if their availability has changed
  3. Directly on the matching form
    • If a new member is joining via the matching form, they can opt into any upcoming matching rounds when as a part of the signup process.

A scheduling link at the top of the introduction email allows members to select when they would like to connect. The first member will submit available times to their match, and the second member will choose from the proposed times.

This method is preferred for in-person events (like a conference or professional speed-dating event).

Lastly, a feedback form will appear for members directly after their conversation ends. You can customize this feedback form on your admin dashboard. If members don’t fill out the form directly after their meeting, they can access it at any time on their member profile.

Members Opt-In

That’s it! The ad-hoc matching process will repeat itself from opting in as you create more rounds for members to participate in. :)

Back-to-Back Matching Flow

Note: Currently, back-to-back matching shares similar functionality with ad-hoc matching. The main difference is that event matching does not offer the ability to send invitations for each individual matching round.

In the back-to back matching flow, individual matching experiences are created, customized, and scheduled by the admin. Back-to Back matching makes it easy for admins to send out multiple matches in short succession. Every club member will be able to opt-into each event, and will be able to select which event times they would like to participate in. There is no limit to how many matching rounds can be scheduled in advance, and the matching rounds can be edited by the admin at any time. Admins can choose between a calendar link, a video link, or no link for events.

Setting Up Back-To-Back Matching Rounds

The back-to-back matching flow offers admins a lot of flexibility in how they can structure their matching rounds. There are three “match” sections on the event tab: Scheduling an Event, Upcoming Events, and Past Events.

  1. On the “Upcoming” page of their member profile
    • The ‘upcoming’ tab is visible to “ad-hoc” matching groups and “back-to-back” matching groups. If your club is an auto-matching club, this section will not appear.
    • The upcoming tab is where members can opt-in to upcoming matching events, or cancel their opt-in if their availability has changed
  2. Directly on the matching form
