Admin FAQs
General
Question: How do my members join my Intros club?
There are three ways your community can join Intros: (View the âInviting Your Membersâ tab for a full rundown of each)
- Use Zapier to import existing member data, and craft personalized invitations to invite or auto-upload members. You can also use Zapier to keep member data up to date as members edit their information in your database, or vice-versa when members edit their profile in Intros.
- Use the CSV upload feature to create members with pre-existing data
- Members can sign up through the matching form. The link to this form can be found on your admin profile, or through the âpreviewâ button on your matching form setup
Intros makes connections based on an algorithm customized by you. Create matching criteria by adding questions to your matchmaking form. Intros leverages AI to match members based on their responses to build meaningful connections in your community.
Members meet on the Intros Video platform. Think Zoom, but cooler.
When you change your matching form, members will automatically be sent an email to update their profile. Members will still be matched according to the data that they provide!
The Intros algorithm works by making the best possible match. While members donât need to have the exact same responses*, the more they select in common, the higher probability that theyâll match.
If you choose to match on cross-group, same-group, or a combination of these rules, members MUST MATCH with someone who has (at least) one of the same answers. View the question-type breakdown for more detailed information!
Yes! Go to your settings tab and check âRandomâ.
Standard Intros emails come from hello@intros.ai, with the option to CC yourself on all emails sent in the Settings. You can also make it so if members reply to hello@intros.ai, youâll receive the messages.
Enterprise clients have the ability to send Intros emails from a non-public email address (ex: yourname@yourcompany.com).
You can change this in settings!
You can navigate to our Launch Notes page at https://intros.launchnotes.io/ and "Subscribe" to updates!
Matching Flows
Check out the Intros flows page for in depth explanations
Auto (Weekly) Matching: Members decide if they want a weekly, biweekly, or monthly introduction with someone else in the community. The reason itâs called Auto matching is because once you set it up, Intros takes care of the rest!
Ad-hoc Matching: The admin (you) decides when a round of introductions goes out. You can invite all members to the round with custom Intros invitations, and theyâll receive an introduction at the time you choose.
Event Matching: The admin (you) decides what day(s) and time(s) youâd like a batch of Intros to be sent out. New members will be able to opt-in via the matching form, and existing members will be able to opt-in via their Member profile.
There can only be one active Intros flow, though you can toggle between flows easily on the âflowsâ tab if necessary.
Intros are made over email. We also offer a Discord bot.
Auto Flow: You can edit the day & time opt-in and introduction emails are sent out in your settings tab.
Ad-hoc Flow: You choose specific days & times for ad-hoc matching rounds to be sent out. You can send invitations for members to join at any point leading up to the round, and the cutoff to join is 15 minutes before the ad-hoc round begins. Members can also opt-in via their member profile.
Event Flow: Introductions are made on the day(s) and time(s) youâve chosen for your event. Members will opt-into these via the matching form or via their member profile.
Auto Matching Flow
Opting in for a recurring Intros club refers to the frequency your members would like to be asked if they want to receive a match in the upcoming matching cycle. The options are weekly, bi-weekly, and monthly.
As the admin, you can control which options are available to your members on the settings tab. Members must opt-in at least 30 minutes before the chosen introduction day & time.
Example choosing weekly: If a member selects a weekly opt-in cadence, theyâll receive a message asking if theyâd like to participate in the Intros round. If they click âyesâ and opt-in every time, theyâll be eligible to receive a match every week
No! Regardless of frequency, if a member doesnât respond to an opt-in email theyâll receive another one every week until they match. Once they match, Intros will wait 4 weeks before sending another opt-in email to their inbox.
âOpting inâ is when members let our system know that theyâre available for / open to a match in the current cycle. The introduction email is sent a few days after the opt-in email, and is when matches are paired together & sent a scheduling link.
The day and time these two emails are sent are decided by you, the admin, in the settings tab!
You can click into the opt-in email editor on the Auto matching flow tab
- Using the scheduling link on the Introduction email
- Member directory request (if your group has the member directory enabled)
No, they don't have to use the intros scheduling link.
However, this is how you, the admin, will be able to track whether or not members joined the meeting through the Intros platform. Check out the Insights tab to see what else you can track in your community.
The feedback form will also pop up directly after the video chat ends if you use our video link.
Matching Form
The answer choices for single and multiple select questions are sorted alphabetically. This was a switch we made after product feedback was overwhelmingly in favor of alphabetical rather than manual sort.
A workaround that some groups utilize when ordering certain questions is creating a list: A. one answer B. second answer C. third answer D. fourth answer etc.
Analytics
You can view analytics over the past week, 30 days, 90 days, or all time. You can also filter by specific Intros round.
Members
You can manually accept members to your Intros Club after they fill out the match-making form by navigating to your settings and turning on âManual Acceptance.â
Only members can update their own profiles and responses.
Remove members by selecting a profile and clicking âRemove.â Note that when you remove a member as an admin, that email address will not be able to re-join the Intros club.
Members can leave and rejoin the club at any time on their member profile.
Rest assured that your membersâ data is safe on Intros AI â weâll never sell your data to third parties and we only use member data in so far as to enrich your communityâs experience via fruitful matchmaking. You can read more about this in our Terms & Conditions (and itâs in plain English too đ). https://app.termly.io/document/privacy-policy/28e4208b-90a2-48a9-9865-c2513ebc5a36
No, our algorithm will not match the same people together twice (in the same Intros club).
Members have three separate ways to fill out feedback:
- Directly after connecting with their match on the Intros video link (the feedback form will automatically pop up)
- In the âunreviewed matchesâ section of their member profile
- If members donât fill out the feedback form after their Intros video chat or through their member profile, then they will receive the feedback form email 2 weeks after their match occurs.
You can view individual member feedback on the âfeedbackâ section of the Insights page
Via magic link sign-in through our Intros AI Website, or through clicking âalready a member?â and entering their email on the bottom of your clubâs matching form.
Either way, no passwords required!

There are two ways you can join an Intros club:
- Your admin may choose to utilize our member upload feature, which will auto-create your profile with the email youâve provided them. You will then receive an individualized invitation to join your club
- Through filling out the matchmaking form that your admin will send you. Youâll fill this out like a survey, and join the club once you submit your answers!
**In both cases, you will receive a welcome email indicating you have signed up for the Intros club.

The community type will be clear in your communityâs welcome email that you receive after signing up for the Intros club. This email will detail the steps your group will follow in order to receive matches!
That depends on which community flow your admin has chosen.
- Weekly/recurring: Let Intros know youâre available that week to receive a match on the âopt-inâ email. After that, youâll receive an introduction email a few days later between you and your match. This email will come with a scheduling link to get a time on the calendar with your match.
- Ad-hoc: Your admin will send a specific day & time that introductions will be occurring. If you select âIâm inâ before the date & time the matching round is set for, then youâll receive your match once our Intros algorithm is completed. You can also opt-into specific ad-hoc matching rounds through the âUpcomingâ tab on your member profile.
- Back-to-back: You will select which day(s) & time(s) youâre available for matching on the eventâs join form. Then, youâll receive your introductions (along with a video link) via email ~5-10 minutes prior to each matching round. You can also opt-into specific back-to-back matching rounds through the âUpcomingâ tab on your member profile.
Head to your member profile and select the âpreferencesâ tab
Make sure to click âsaveâ in the upper right after editing!
Both you and your match are CCâd on the introduction email, so you can find their email & communicate that way.
If your club has a number directory, you can also view their profile to find other contacting methods, like social media.

We don't currently offer a way to reschedule with your match through the Intros platform.
However, both you and your match are CCâd on the introduction email, so you can find their email & communicate that way.
If your club has a number directory, you can also view their profile to find other contacting methods, like through social media.
The Intros calendar invite that is sent out after using the Intros scheduler is editable by both you and your match, so you can also simply move that invitation, and use the same Intros video link. :)
For ad-hoc/back-to-back: Head to the âUpcomingâ tab on your member profile, and change your availability.
For auto: There isnât a way to change your availability after opting in.
Weekly: The day and time these two emails are sent are decided by your admin. Once they are set, you will receive opt-in and introduction emails at the same time every week.
Ad-hoc: Admins control when opt-in emails are sent out, how far in advance theyâre sent out, and how many times theyâre sent out (to serve as reminders for some folks). The date & time of the next introduction will be listed on the opt-in email. You can see all upcoming ad-hoc rounds on the âUpcomingâ page of your member profile.
Back-to-back: Opt-in emails are not sent out for events. All members must fill out the matchmaking form and choose their available times. Existing group members can see all upcoming ad-hoc rounds on the âUpcomingâ page of your member profile, and opt-into any of them.
Youâll receive each Introduction 5-10 minutes before each matching round begins.
Weekly (Recurring) Matching
Opting in for your recurring (weekly) Intros club refers to the frequency youâd like to be asked if you want to receive a match for the upcoming matching cycle.
- Choosing weekly: Every week youâll receive a message asking if youâd like to participate in the Intros round. If you click âyesâ and opt-in every week, youâll be eligible to receive a match every week
- Choosing bi-weekly: Every other week youâll receive a message asking if youâd like to participate in the Intros round. If you click âyesâ and opt-in every time, youâll be eligible to receive a match every other week
- Choosing monthly: Every month youâll receive a message asking if youâd like to participate in the Intros round. If you click âyesâ and opt-in every time, youâll be eligible to receive a match once a month
âOpting inâ is letting our system know that you are available for & open to a match in the current cycle. The introduction email is sent a few days after the opt-in email, and is when you are connected with your match & sent an Intros scheduling link.
The day and time these two emails are sent are decided by your admin. Once they are set, you will receive opt-in and introduction emails at the same time every week.
Opt-in and introduction emails are sent at least 48 hours apart, to give members time to see & respond to the opt-in request.
Nothing. :)
You simply wonât receive a match for that cycle, and youâll continue receiving opt-in emails as usual.
- Using the scheduling link on the Introduction email
- Member directory request (if your group has member directory)
No, you don't have to use the intros scheduling link.
However, this is how your community admins will be able to track whether or not you've joined the meeting through the Intros platform. We offer easy scheduling through our intro scheduling link at the top of every introduction email for recurring matching clubs.
The feedback form will also pop up directly after your chat if you use our video link.
You can sign into your member profile and check out the banner at the top - if it says âopt-in for a match!â that means you havenât opted in yet. You can opt-in by clicking on the banner, or through the opt-in email that was sent.
If the banner says âexpect a match this __!â then youâve opted in, and will receive a match!
We don't currently offer a way to reschedule with your match through the Intros platform.
However, both you and your match are CCâd on the introduction email, so you can find their email & communicate that way.

There currently isnât a way to view this on your member profile, however we will be updating the product to send a calendar hold for ad-hoc rounds youâve opted into within the next few weeks (as of January 26th)!
Event Matching
Both you and your match are CCâd on the introduction email, so you can find their email & communicate that way.
If your club has a number directory, you can also view their profile to find other contacting methods, like social media
This depends on the type of event your admin is hosting. If youâve opted in to receive introductions at the various event times, you will not be able to reschedule (ex: virtual speed dating). You & your match are both CCâd on the introduction emails, so it would be best to reach out to them directly!
Youâll receive each Introduction 5-10 minutes before each matching round begins.
Connecting your data using Zapier
Zapier is our recommended method, as any data source compatible with Zapier can be used (AirTable, Typeform, Google Sheets, Hubspot, etc. - check out all Zapier apps here).
Head to our Zapier page for more examples on how you can connect your data with Zapier (ie: updating existing member data)
Note: import limitation
Both methods of importing data are not compatible with our âSimilarity Scaleâ type question, so avoid adding this question type to your Intros club if you plan on integrating with Zapier OR uploading data using a CSV
It is also important to note that members will sign into their member profile via magic link sign-in using their email. With that, make sure to upload an email members will want to utilize for Intros matching.
Sign up for Zapier
Head to Zapier.com & choose the plan that best fits your organizationâŁ
Create your Zap
Add a new Zap named â[organization]âs Intros connectionâ (or whateverâs best for you, of course!)
Add your data trigger
In this example, I use a Typeform connection. In Zapier, simply search for the name of your app in the âtriggerâ block. Connect your Typeform account, and select âNew Entryâ so that the flow runs each time a new Typeform submission is sent in
Add your data action (Intros)
Connect your Intros AI account to Zapier, and select âcreate new memberâ
Match each question from Typeform to its corresponding Intros AI matchmaking form question
Test & Publish your Zap
Upon a successful test, you will see a sample member appear in your Intros club (this member is only temporary, and used to make sure youâve properly connected your data)
Once your data is properly flowing, select âPublish Zap. You will then see the option to transfer any existing data, which is the perfect way to seamlessly transfer any members who have already filled out the Typeform
Upload your data using our CSV Upload Feature
With a few simple steps, you can upload any existing member data to your Club.
Upload your CSV
Click into âImport Member Data (Optional)â on the community checklist
Select âImport Membersâ and upload your CSV
Map your CSV data
In this step, youâll map the data columns in your CSV to the corresponding data property in Intros
Note: Not all columns must be uploaded - the only necessary properties to include are First Name, Last Name, and Email. Otherwise, the CSV upload will not succeed.
Preview member profiles
Review member profiles to ensure your CSV data has mapped properly.
You can click in and review individual member profiles:
Upload members
Scroll to the bottom of your previewed data, and select âUpload Membersâ. This upload your members to the Intros platform, it will not automatically enroll or invite them. View step two below for more information.
Enroll (or invite) your members [preferred invitation method]
Once your members are imported, they will show up in the âuploaded tabâ on the Members page in your admin account.
With this method, members will receive personalized emails.
Note: Member data must be uploaded before these invitations can be sent out.
Enrolling and inviting members follow the same steps:
Navigate to the âKick-off!â step of your community checklist
Select âCustomize & Send email invitationsâ
Decide enrollment method
Intros will provide you the number of profiles eligible for auto-enrollment. In order for members to auto-enroll, enough member data must be available for our matching algorithm to properly connect members together.
If you select âauto-enrollâ, eligible members will receive the âauto-enrollâ email, while all other members will receive the âinvitationâ email (both emails are customizable in the next step).
Customize email invitations
Edit the email text for the auto-enrollment email on the left, and the text for the invitation email on the right. If you are auto-enrolling all members OR inviting all members, there is no need to edit both emails; only the one your members will be receiving.
Test and send out email invitations
Send yourself test emails to confirm your emails are formatted properly. Once youâre satisfied with the end result, click âInviteâ, and your members will receive the invitations!
Check member statuses
Members who receive the auto-enrolled email will automatically become active members of the Intros Club, and will show up in the âactiveâ tab.
Members who receive the invitation email will show up in the âinvitedâ tab on the âMembersâ page until they select âJoin the community!â and complete the rest of their onboarding.
